TERMS AND CONDITIONS OF BOOKING AND HIRE
1. Acceptance of Terms
1.1 By accessing this website, you confirm that you accept and agree to comply with these Terms of Use.
1.2 By paying any deposit or making a booking, you confirm that you have read, understood, and agreed to these Terms and Conditions of Hire, which form a legally binding agreement.
1.3 If you do not agree to these Terms, you must not proceed with a booking.
2. Formation of Contract
2.1 A booking is not confirmed until:
- availability has been agreed;
- a booking form (or equivalent written confirmation) has been submitted; and
- a deposit has been received and acknowledged.
2.2 Once payment confirmation has been issued by us, a binding contract is formed.
2.3 All correspondence, including emails and electronic submissions, constitutes “written” communication for contractual purposes.
3. Quotations and Pricing
3.1 All quotations are based strictly on the details provided at the time of enquiry.
3.2 The price applicable to your booking will be the rate in force at the time the reservation is confirmed, regardless of earlier quotations, expired offers, or website pricing.
3.3 Upon receipt of a deposit, the quoted price will be held for a maximum of 21 days pending submission of a completed booking form.
3.4 Additional services, itinerary changes, or amendments not included in the original quote will be charged at the prevailing rates at the time of amendment.
3.5 Significant alterations may require cancellation and rebooking, with revised pricing.
3.6 The Company reserves the right to adjust pricing in response to material increases in operating costs, including fuel or taxation changes.
4. Booking Form and Client Responsibilities
4.1 A completed booking form must be submitted within 21 days.
4.2 It is the Client’s responsibility to ensure all information is accurate, including:
- collection and destination addresses
- timings
- passenger details
- special requirements
4.3 Failure to provide complete or accurate information may result in additional charges, delays, or inability to fulfil the booking.
5. Payment Terms
5.1 A non-refundable deposit of £100 per vehicle is required to secure the booking.
5.2 The balance must be paid in full within the timeframe specified in your booking confirmation, being 8 weeks before the booking event date.
5.3 For bookings made within the final payment period, full payment is required immediately.
5.4 Late payments may result in cancellation, with loss of deposit and liability for outstanding balances.
5.5 Interest may be charged on overdue payments at a reasonable commercial rate above the Bank of England base rate.
6. Changes to Booking
6.1 Requests for amendments must be made in writing.
6.2 We will advise of any changes to pricing or feasibility before proceeding.
6.3 Changes are not guaranteed and may be declined where operationally impractical.
6.4 Amendments requested within a short period before the hire date may incur an administrative fee.
7. Additional Time and Variations
7.1 Additional time or mileage requested on the day is subject to availability and immediate payment.
7.2 Chauffeurs will not undertake unscheduled stops or journeys unless authorised.
7.3 If the hire exceeds the agreed duration and continuation is not possible, the service may end at the agreed finish time without liability.
8. Service Delivery
8.1 Vehicles and chauffeurs will be provided as agreed in the booking confirmation.
8.2 Chauffeurs will exercise professional judgement regarding routes, safety, and timing.
8.3 Routes are planned in advance; any requested deviation must be agreed beforehand and is undertaken at the Client’s risk.
9. Timings and Delays
9.1 Clients must be ready to depart at the agreed time.
9.2 We are not responsible for delays caused by:
- traffic conditions
- road closures
- weather
- mechanical issues
- inaccurate information provided by the Client
9.3 No liability is accepted for missed appointments or consequential losses arising from such delays.
10. Access and Travel Conditions
10.1 The Client must ensure safe and suitable access at all locations.
10.2 Chauffeurs may refuse to proceed where road conditions pose a risk to safety or vehicle integrity.
10.3 Where access is restricted, the vehicle will stop at the nearest safe location.
11. Vehicle Condition and Limitations
11.1 Vehicles are maintained to a high standard; however, may have inherent limitations.
11.2 Minor mechanical issues or delays may occur and are accepted as part of hiring vehicles.
11.3 The Company does not guarantee uninterrupted operation of any vehicle.
12. Breakdown and Substitution
12.1 If a vehicle becomes unavailable prior to the hire date, a suitable alternative may be offered.
12.2 If no suitable alternative is accepted, a refund (excluding deposit where applicable) may be issued.
12.3 If breakdown occurs during the hire, any refund will be proportionate and at our discretion.
12.4 Liability is strictly limited to the booking value.
13. Weather and Force Majeure
13.1 Services may be altered, delayed, or cancelled due to circumstances beyond our control, including severe weather.
13.2 Vehicle substitutions may be made where necessary for safety.
13.3 Refunds will be proportionate and exclude deposits where costs have already been incurred.
14. Passenger Conduct
14.1 The Client is responsible for the behaviour of all passengers.
14.2 The following are prohibited:
- smoking or vaping
- consumption of food or alcohol (unless agreed)
- abusive or unsafe behaviour
14.3 Service may be terminated immediately without refund if behaviour is deemed unsafe or inappropriate.
15. Damage and Cleaning
15.1 The Client is liable for all damage caused to vehicles during the hire period.
15.2 Cleaning, repair, and associated costs (including loss of business) will be charged in full.
15.3 Additional cleaning charges may apply for excessive mess.
16. Personal Belongings
16.1 The Company accepts no responsibility for loss or damage to personal items.
16.2 Items left behind will be held for a limited period and may be disposed of if unclaimed.
17. Safety and Legal Compliance
17.1 All passengers must comply with applicable safety laws, including seatbelts.
17.2 Child restraints must be provided and fitted by the responsible adult.
17.3 Chauffeurs reserve the right to refuse travel where safety requirements are not met.
18. Photography and Media
18.1 The Company may take photographs of vehicles for promotional use.
18.2 Images including individuals will only be used with prior consent.
19. Cancellation Policy
19.1 All cancellations must be submitted in writing.
19.2 Deposits are non-refundable except where required by law.
19.3 Cancellation charges will apply depending on notice given prior to the hire date.
19.4 Where a booking is cancelled within 8 weeks of the hire date, the full balance remains payable.
20. Termination
20.1 We may terminate the contract if:
- payment is not received
- required information is not provided
- these Terms are breached
20.2 In such cases, deposits will be retained and further charges may apply.
21. Complaints
21.1 Any complaints must be submitted in writing within 14 days of the hire date.
21.2 We will investigate and respond within a reasonable timeframe.
22. Limitation of Liability
22.1 Our liability is limited to the total value of the booking.
22.2 We are not liable for indirect or consequential losses.
22.3 Nothing in these Terms excludes liability where it would be unlawful to do so.
23. Data Protection
23.1 Personal data will be handled in accordance with applicable data protection laws and our Privacy Policy.
24. General Provisions
24.1 We reserve the right to amend pricing, services, and these Terms at any time.
24.2 The Terms applicable to your booking are those in force at the time of confirmation.
24.3 Bookings are only accepted from individuals aged 18 or over.
24.4 This contract is governed by the laws of England and Wales.
25. Insurance Recommendation
25.1 Clients are strongly advised to obtain suitable wedding or event insurance to cover unforeseen circumstances.
